Operations Coordinator at KIPP Northeast Denver Leadership Academy

*This role is temporary and will serve from November 2024 through March 2025.

About the Operations Coordinator Position: The operations coordinator will be responsible for managing the front office of the school and supporting the school staff. The operations coordinator will be the first point of contact for all students, families, staff and visitors. This individual will assist in the implementation and maintenance of clear operational systems and work seamlessly with the Assistant Principal of Operations to make sure the operational goals and priorities set at the school level are consistently maintained. The operations coordinator will work with the school leadership team to complete all operational responsibilities. This is a full-time, administrative, non-exempt position based in the school. The operations coordinator will report directly to the Assistant Principal of Operations.

Professional Responsibilities

  • Assume personal responsibility for student achievement 
  • Read, internalize, and adhere to the KIPP Colorado Policies and Procedures manual and guidelines
  • Provide an active presence, strategic supervision, and intentional monitoring to ensure student safety and engagement in rigorous learning (regardless of my role and its proximity to students)
  • Take ownership for the development of your craft (meet 1x/1-2 weeks with a manager, implement feedback, engage in active practice, etc.)
  • Commit to being prepared. Such as: internalizing and preparing for lessons; preparing for O3s/coaching, preparing for meetings, coaching, PD, etc. 
  • Meet professional obligations including and not limited to meeting deadlines and honoring schedules 
  • Consistently leverage existing professional tools, including but not limited to Google Suite (google documents, etc.) and Microsoft Suite (including but not limited to your KIPP Colorado email, Teams chat / meetings, Teams phone, and Microsoft outlook) 
  • Maintain strong attendance each day and be on time to all responsibilities
  • Collaborate with colleagues and seek feedback in the spirit of continuous improvement 
  • Reflect on professional practices to meet individual professional development goals 
  • Actively participate in professional development, grade level, and department meetings
  • Actively engage and implement in all school-wide and Org wide professional development
  • Serve as a positive, contributing member of a grade team or functional team, collaborating with colleagues to tackle common challenges and implement org and grade-wide initiatives
  • Share candid, solutions-oriented feedback with peers and leadership on a regular basis, assuring that feedback is shared directly with the intended recipient. Ensure that feedback is focused on improving outcomes and experiences for students
  • Assist with both student and staff recruitment and engagement- including events, home visits, calls home, and other determined and related requirements
  • Know that you role, professional development, org wide meetings, etc. may require you to travel around Denver to other KIPP Campuses, our Home Office, or other KIPP or PD events 
  • Assist with other duties as assigned (such as but not limited to, lunch duty, arrival/dismissal duty, bathroom duty, school support duties, etc.) 
 

Front Office and Daily Operations

  • Assist Assistant Principal of Operations to manage and oversee the school’s physical condition and operational needs
  • Uphold KIPP mission, vision, values and expectations with students and families
  • Support with vision for operational excellence at the school, including working to ensure a welcoming and beautiful office and hallway environment
  • Work in conjunction with Assistant Principal of Operations to support and implement main office policies and guidelines, including appropriate visitor/tardy/sign-out procedures
  • Support with the system for ensuring functionality of copiers and printers
  • Assist in making sure technology is fully functional and available. Work to support day-to-day technology needs at the school
  • Supervise daily student lunch, arrival, and dismissal
  • Support Assistant Principal of Operations in creating and managing coverage schedules when staff members are unavailable
  • Coordinate campus transportation requests under the direction of the Assistant Principal of Operations
  • Maintain school staff roster
  • Manage substitute requests and check-in
 

Purchasing

  • Maintain inventory for uniforms and office and staff supplies, organize uniforms sales
  • Process and monitor all uniform orders from families with support from the Dean of Operations
  • Support Dean of Operations in inventory, tracking and distribution of weekly orders
 

 Financial Operations

  • Manage cash handling
  • Complete bi-monthly deposits with documentation
  • Support school leadership in completing monthly credit card reports
  • Complete weekly accounts payable reports
  • Be the liaison with regional financial people and systems 
 

Compliance and Safety

  • Attend first aid training and perform first aid as needed
  • Assist in the storing and administering of medicine to the students as prescribed by their doctor or certified district nurse
  • Coordinate with school facilities staff to ensure all bathroom and facilities are in good working order
 

Attendance and Compliance

  • Manage the system for attendance recording, incentivizing, and weekly goals, targets and priorities 
  • Support with inputting student information and schedules in Infinite Campus
  • Coordinate FRL application completion annually
  • Assist in front office systems, including tardies, late pick-ups, dismissal changes, etc.
  • Coordinate daily attendance taking, check records, and support with student file submission
  • Help ensure that all information in the student information systems is accurate at all times
  • Coordinate the exit process of students from the school and report that information to DPS and KIPP Foundation as needed 
 

Enrollment

  • Manage all incoming applications and enrollment paperwork for new and returning students 
  • Coordinate with DPS Choice and Enrollment to manage seat offers and acceptances
  • Monitor and update enrollment tracking systems for both KIPP CO and DPS 
  • Assist in student recruitment activities and coordinating orientation meetings for new students
  • Participate in the yearly registration process during the summer for each school
 

Student Records

  • Manage paperwork for electronic records, birth certificates, etc.
  • Support in updating student files when needed

 Communications

  • Address all office communications, including incoming calls, faxes, files, mail, and deliveries
  • Assist the AP of Operations in staff translation requests, student health needs, and in performing student pull-outs and student communications
  • Correspond regularly with families regarding school policies, trips, events, and milestones
  • Assist in the preparation of all parent communications, including letters and phone calls

  • Bachelor’s degree (preferred)
  • Bilingual (English & Spanish) (strongly preferred)
  • At least 1-3 years of relevant and aligned experience (required)

Compensation & Benefits

  • Competitive Market Salary: Starting salary for this role begins at $61,200 and is commensurate with experience
